One of the biggest takeaways was that while the technology has changed dramatically, the fundamentals of media relations haven’t. Today we’re shifting from understanding the category to choosing the right tool.
Unlike some Tool School Guides where there may be a clear market leader, media contact databases are different. The “best” platform depends on your organization’s size, budget, workflow, and communications goals. A global corporation has very different needs than a nonprofit, startup, or solo PR consultant.
Our goal isn’t to tell you which platform to buy.
Our goal is to help you ask the right questions before you invest.
One More Tool Than I Expected…
As you know, we’ve been using AI to create these tables as a “test” to see how many of the tools the AI can surface. This time they really only surfaced about half and the AI included two companies that are no longer in service.

To give credit where credit is due however, as I was testing AI, I discovered another tool that belongs in the database.
Its name?
MediaList.
I honestly thought it was a misunderstanding between myself and the AI but…
Nope.
It’s simply MediaList. Yes, MediaList.com.
While it may not win any awards for creative branding, it actually serves as a good reminder that not every valuable PR tool needs a trendy AI-inspired name. Sometimes straightforward is perfectly fine; but it IS odd that this tool had not been on my radar until now. The founding date is not on their website and Emma, their chatbot doesn’t know. We do know that the MediaList.com domain has existed since April 1996. If I learn more, I will share; it feels like there’s an interesting story here!

How to Think About Your Buying Decision
One of the biggest mistakes organizations make is choosing a media contact database based solely on the number of journalist contacts.
A database with one million contacts isn’t necessarily better than one with 300,000 if your team only works in a handful of industries.
Instead, think about fit.
Ask yourself:
- Does this platform cover the industries and regions I work in?
- How frequently is journalist information updated?
- Can I easily find reporters based on recent coverage instead of just publication or beat?
- Do I need media monitoring and analytics?
