On Monday we took a deep dive into the category of Media Monitoring & Measurement tools and dropped our latest video highlight. Today we’re working with AI (yes this is a test) to organize them into a table format. We prompted it to be as complete and thorough as it could be, and while the format is useful, the results were frankly more incomplete than I expected.
This reminded me of a question I was asked recently by a prospective subscriber. “What can PRToolFinder can do that AI can’t.” This category guide is a perfect example.
Working with AI to arrange the tools into a table format helps us think about these tools from a decision-making standpoint. But it might not be a good idea to assume that AI assessed each tool correctly – we’d need to know the methodology and, in all honesty, I didn’t go super deep in my prompt engineering. But AI does have access to pricing on the web and there are tools that should have been included as an affordable option.
This result implies that AI (for the moment) doesn’t really know all the tools that are out there or it would have provided a more complete result. Will AI someday be able to keep up with our human, PR professional curated list? Hard to say at this point.
What we do know is there were important tools left out. There are over 40 tools in the database and the solutions vary widely. For example, just a few that are missing in the table below that are included in the PRToolFinder database are Carma, Awario, Truescope, Zygnal labs and quite a few others.
What if one of those other tools was just right for your specific needs? It depends on how high the stakes are with this decision.
Before you go trying to identify the row that best describes your organization however, these questions can help refine your shortlist further:
What channels do you need to monitor?
- Online news
- Print publications
- Television
- Radio
- Podcasts
- Social media
- Blogs and forums
Do you need outreach capabilities?
Some tools are strictly monitoring platforms, while others combine:
- Media databases
- Journalist outreach
- Monitoring
- Reporting
How important is executive reporting?
If reports regularly go to:
- CEOs
- Boards
- Clients
- Investors
…you’ll likely want stronger analytics and dashboard capabilities.
How big is your team & will multiple members need access to the platform?
Consider:
- User permissions
- Workflow approvals
- Client separation
- Training requirements
How much support do you expect?
Some organizations value:
- Dedicated account managers
- Custom onboarding
- Strategy sessions
Others prioritize simplicity and self-service.

The PRToolFinder Takeaway
There isn’t one “best” media monitoring tool.
There is only the best fit for your organization.
Start by understanding:
- Who you are,
- What you’re trying to measure,
- Who needs the insights,
- And how much complexity your team can realistically support.
Once you answer those questions, the “right” tools often reveal themselves surprisingly quickly.
